Instantly and Smartlead both sell cold email at volume from many mailboxes, and on a feature list they look alike. On the same buyer tasks, they split clearly on reply handling, client access and what is sold as an add-on.
This applies to B2B teams sending cold email at volume from several mailboxes and domains. Neither tool overrides Gmail or Outlook sender rules, so results still depend on authentication, list quality and message relevance.
How We Compared Instantly And Smartlead
This comparison scores Instantly and Smartlead on the same six buyer tasks (running campaigns, handling replies, controlling sending, testing deliverability, serving clients and paying for add-ons) using each vendor's documentation and pricing pages, with independent review patterns used only for limitations.
Both tools belong to the group of cold email platforms built for sending at volume. The inclusion bar for the head-to-head is cold email at scale, with unlimited mailboxes and native warmup. QuickMail, Woodpecker and Reply.io join as alternatives because they are the platforms a buyer is likely to shortlist when LinkedIn steps or a different pricing basis matter.
Each tool is assessed on the same criteria:
- Campaign execution, from mailbox setup to sequence logic
- Reply workflows, from labelling to AI drafting
- Sending controls and per-mailbox limits
- Deliverability testing and what it costs
- Agency fit, including client logins and white label
- Cost drivers beyond the base plan
Instantly Vs Smartlead At A Glance
Instantly and Smartlead both let a team connect unlimited mailboxes with warmup, so the real differences sit in reply handling, client access for agencies and which features are sold as separate add-ons.
The overlap is large. Both send from as many mailboxes as you connect, and both pull replies into one inbox. Instantly calls its inbox Unibox, and Smartlead calls its version the master inbox.
| Tool | Pricing model | Email accounts | Reply AI | Placement testing | Reply inbox | Calls and LinkedIn |
|---|---|---|---|---|---|---|
| Instantly | Paid | Unlimited | AI labels, Reply Agent | Paid add-on subscription | Unibox | Calls via CRM add-on |
| Smartlead | Paid | Unlimited | AI reply manager, sub-sequences | SmartDelivery add-on | Master inbox, all clients | SmartDialer calls, no LinkedIn |
Documented: Every typed row comes from vendor documentation or pricing pages, including unlimited email accounts on both, Instantly's Reply Agent, Smartlead's sub-sequences, both reply inboxes and the add-on status of placement testing.
Judgement: Which row matters most depends on who sends. Agencies weigh client access first, while in-house teams weigh reply AI and bundled lead data.
Instantly Vs Smartlead Features For Campaign Execution
Instantly's help centre recommends about 30 campaign emails per mailbox per day, so a team reaches volume by adding mailboxes, while Smartlead's sub-sequences let a campaign branch by reply type, link clicks or lead tags.
The matching task here is launching a three-step sequence across many mailboxes. This is how Instantly and Smartlead handle each part of it.
Mailboxes And Warmup
Instantly's Outbound subscription lets a team connect and warm up unlimited email accounts, upload leads and send campaigns. Warmup emails do not count toward Instantly's sending limits, so warmup keeps running alongside live campaigns.
Smartlead lets users add unlimited mailboxes and store unlimited leads, and all its plans include unlimited email accounts. Smartlead meters usage by lead credits (one unique prospect email stored) and email credits (one email sent) rather than by mailbox count.
Campaign Logic
Smartlead documents sub-sequences, which branch a campaign into separate follow-up flows. The trigger can be the type of reply, a link click or a lead tag, and Smartlead categorises lead intent from replies to feed those branches.
Smartlead: Sub-sequences In the documentation
Smartlead's sub-sequences build branching follow-up flows from a reply type, a link click or a lead tag. A lead who replies "not now" can move into a slower nurture branch, while a lead who clicks a pricing link can move into a shorter, more direct one.
Judgement: Smartlead gives more branching control inside one campaign. Instantly's campaign setup, sized by mailbox count and contact limits, is simpler to run for a team that sends one sequence to one list.
Sending Limits
Instantly's help centre recommends 30 campaign emails per mailbox per day, or 20 for AirMail mailboxes. It sets a campaign's daily limit as the number of non-AirMail accounts multiplied by 30. By that formula, a campaign on 10 standard mailboxes tops out at 300 campaign emails a day, and a team that needs more volume adds mailboxes rather than pushing each one harder. This is vendor guidance, not a mailbox-provider rule.
Calls And LinkedIn
Instantly's Outbound plans do not automate LinkedIn natively. Its separate CRM add-on covers emails, calls, SMS, tasks and LinkedIn connections alongside the outreach product.
Smartlead places calls through SmartDialer. LinkedIn is not native in Smartlead, so a team that wants LinkedIn touches adds another tool.
How Do Instantly And Smartlead Handle Replies?
Instantly's AI Reply Agent spends 5 credits on every reply it generates and can run with human approval or on Autopilot, while Smartlead routes replies from every campaign and client into one master inbox and can trigger sub-sequences from the reply's intent. The difference is who drafts the answer and who decides the next step.
Take a team triaging 200 replies a week from several campaigns.
Instantly: Unibox applies AI reply labels by default (Interested, Not interested and Out of Office) across more than 50 languages. Custom AI labels are available only on the Hypergrowth and Light Speed plans, at no extra charge. The AI Reply Agent reads inbound replies, books meetings through a calendar link and runs in Human-in-the-Loop mode, where a person approves each draft, or on Autopilot. Fully automatic replies need Hypergrowth or higher.
Smartlead: Replies from all campaigns and all clients land in one shared master inbox. Smartlead's AI reply manager prioritises hot leads and syncs them to the CRM, and the intent Smartlead reads from a reply can start a sub-sequence, so the follow-up changes without a person re-filing the lead.
At 200 replies a week, an Instantly Reply Agent drafting an answer to every reply would use 1,000 credits a week. That is 1,000 credits before a person approves or rejects a single draft.
Plan gates on Instantly: Default reply labels come with Unibox. Custom AI labels need Hypergrowth or Light Speed. Fully automatic replies on Autopilot need Hypergrowth or higher, so a team that wants the agent to send without approval should plan on that tier.
Smartlead in practice: Smartlead reads intent from each reply and categorises the lead. That category can start a sub-sequence, so an interested reply can move a lead into a short booking flow while a "not now" reply moves it into a slower nurture branch. Link clicks and lead tags trigger branches too, so a lead who clicks a pricing link can be routed before anyone reads the reply. The AI reply manager then puts hot leads first in the master inbox and syncs them to the CRM.
Judgement: Instantly is built to draft the answer for you. Smartlead is built to route the lead into the right follow-up. A team short on SDR time leans Instantly, and a team that wants control over follow-up paths leans Smartlead.
Instantly Vs Smartlead Deliverability And Sending Controls
Neither Instantly nor Smartlead can exempt a sender from mailbox-provider rules, and Outlook rejects mail from domains sending over 5,000 emails a day that fail SPF, DKIM or DMARC with error 550 5.7.515.
Both tools sell inbox placement testing as something extra rather than part of the sending plan, and both leave pacing and authentication to the sender.
Instantly sending pace: Instantly's help centre recommends about 30 campaign emails per mailbox per day, or 20 for AirMail mailboxes, and caps a campaign at the number of non-AirMail accounts multiplied by 30. Warmup emails do not count toward either limit, so warmup keeps running alongside live campaigns without using up the campaign allowance.
Smartlead sending pace: Smartlead meters sending by email credits, one credit per email sent, and lets a team connect unlimited mailboxes. Independent reviews describe a busier, operator-oriented setup, with DNS, inbox rotation and warmup for the team to manage, so pacing each mailbox is the operator's job.
Instantly Inbox Placement: The test checks inbox versus spam placement at Gmail and Microsoft, checks SPF, DKIM, DMARC and content, and monitors 94 blacklist sources. It runs as a one-time, automated or external test. It needs a separate Inbox Placement subscription, which covers unlimited tests and accounts, and Instantly allows two free one-time tests before that.
Smartlead SmartDelivery: Inbox placement testing is a separate add-on sold in three tiers, Growth, Pro and Export, each a monthly subscription on top of the Smartlead plan.
What the tests cover: Instantly's test reports placement at Gmail and Microsoft and checks authentication records, content and blacklists. A placement test shows where mail lands and why. It does not move mail out of spam, so a failing result is a prompt to fix records, slow sending or clean the list.
Then come the rules neither tool decides. Gmail treats senders of about 5,000 or more messages a day to Gmail accounts as bulk senders, who must use SPF, DKIM and DMARC, keep the Postmaster Tools spam rate below 0.3% (Google recommends below 0.10%) and support one-click unsubscribe for marketing messages. Those rules have applied since February 2024.
Outlook's high-volume rules took effect on May 5, 2025. A domain sending more than 5,000 emails a day must pass SPF and DKIM and publish a DMARC record of at least p=none, aligned with SPF or DKIM.
Judgement: For a team sending from one platform, the vendor's own placement test is usually enough to catch a broken record or a blacklisted domain. Teams running several sending tools may want a neutral tester, and our email deliverability tools comparison covers those.
Instantly Vs Smartlead Pricing And What It Costs To Run
The base plans of Instantly and Smartlead are only part of the bill, because Instantly sells its lead database, CRM and inbox placement testing as separate subscriptions and Smartlead charges per client workspace for client access and separately for SmartDelivery.
Instantly Outreach pricing
| Plan | Price | Billing | Notes |
|---|---|---|---|
| Growth | $47 | per month | |
| Hypergrowth | $97 | per month | |
| Light Speed | $358 | per month | |

What drives Instantly's bill: Outbound plans cap uploaded contacts as a fixed limit across all campaigns, not per month, plus a monthly email allowance. The SuperSearch lead database and Website Visitors sit in a separate Data Credits subscription. The CRM add-on and the Inbox Placement add-on are separate again, as are domains and email accounts bought through Instantly. AI Reply Agent credits, at 5 per generated reply, come on top.
What drives Smartlead's bill: Plans are metered by lead credits and email credits. Client access with white label is billed monthly per client workspace, from the Pro plan up. SmartDelivery is a separate tiered add-on, and SmartProspect verified emails are a separate allowance.
Two team scenarios show how far the bill moves from the entry plan. The first is an in-house team selling one product line. The second is an agency running outreach for five clients.
Add-ons each scenario typically needs
| Scenario | Instantly | Smartlead |
|---|---|---|
| In-house team, one product | Outbound, Data Credits, reply credits | Plan with lead and email credits |
| Agency, five clients | Outbound, Inbox Placement, reply credits | Pro plan, five client workspaces |
| Either, with placement testing | Inbox Placement subscription | SmartDelivery tier |
For the in-house team, the deciding cost is usually data. Instantly's Data Credits keep lead search and sending with one vendor. Teams that would rather pull contact data through their own stack can compare email finder APIs before paying for a vendor database.
For the agency, the deciding cost is client seats. On Smartlead, five clients mean five client workspace fees every month, before the plan itself, lead credits or SmartDelivery.
Judgement: An entry plan rarely matches the running bill once data, placement testing, reply credits or client seats are added. Price each tool against the scenario you will actually run, with the add-ons named above, rather than comparing the cheapest plan on each pricing page.
Is Instantly Or Smartlead Better For Agencies?
Smartlead suits agencies that must give clients their own branded, permission-controlled login, which it sells as a client access add-on per client workspace from the Pro plan up. Instantly suits agencies whose own team runs every client and wants lead data, placement testing and reply AI from one vendor.
Smartlead for agencies:
- Client logins: Client access gives each client a branded login, with role-based permissions that set what each client can do.
- White label: White-label branding makes the platform show the agency instead of Smartlead.
- Cost basis: Client access is a monthly fee per client workspace, from the Pro plan up, so the bill grows with every client added.
- One inbox: Replies from every client's campaigns land in the same master inbox, so one operator can work all accounts from one screen.
The trade-off is the setup. Independent reviews describe Smartlead as operator-oriented, with DNS, rotation and warmup to manage, and a shared inbox across clients needs clear tagging so replies reach the right account.
Instantly for agencies:
- Placement testing: One Inbox Placement subscription covers unlimited tests and accounts, so testing cost does not rise with each client mailbox. It covers Gmail and Microsoft only.
- Reply sorting: Custom AI reply labels can sort replies by client-specific outcomes, at no extra charge, but only on Hypergrowth and Light Speed.
- Lead data: Data Credits put SuperSearch lead search with the same vendor as sending.
The trade-off is the contact cap. Outbound plans cap uploaded contacts as one fixed limit across all campaigns, so every client's list draws on the same allowance.
Best for
- Agencies that show clients a branded, permission-controlled view
- Teams that want follow-ups to branch by reply intent
Not for
- Teams that need LinkedIn steps inside the sequence
- Small teams that want a light, low-maintenance setup
Best for
- In-house teams wanting outreach, lead data and CRM from one vendor
- Teams that want AI to draft replies with human approval
Not for
- Agencies whose combined client lists outgrow one contact cap
- Teams that need native LinkedIn automation in Outbound
Judgement: Agencies that must show clients a branded view lean Smartlead. Agencies that run every client in-house and want bundled lead data can run Instantly, as long as the shared contact cap fits the client roster. This rule is drawn from documented features, not from agency results.
What Users Report About Instantly And Smartlead
Reviews of Smartlead aggregated across Trustpilot and G2 cluster around billing and cancellation friction, support responsiveness and warmup hiccups, and Instantly's Trustpilot complaints centre on billing and cancellation too.
Review patterns show how support and billing behave once a team is paying. The patterns below come from aggregated reviews, not single complaints.
What the patterns mean for a buyer:
- Billing and cancellation (both): Before adding a card, find how to cancel, whether a plan renews automatically and whether add-ons cancel with the plan. On Instantly that means checking each separate subscription, from Outbound to Data Credits and Inbox Placement.
- Support (Smartlead): If the team has no one who can solve a DNS or warmup issue alone, slow support costs sending days. Ask how support is reached on your plan before committing.
- Warmup (Smartlead): G2 reviewers mention warmup hiccups. Watch placement closely in the first weeks after connecting new mailboxes, and keep campaign volume low until warmup settles.
- Operator-heavy setup (Smartlead): DNS, inbox rotation and warmup are the team's to manage. Budget operator hours for setup and upkeep, not just the plan.
- Channel gaps (both): Neither offers native LinkedIn steps in its outreach product, and on Instantly fully automatic AI replies need Hypergrowth or higher.
Judgement: Billing complaints on both tools point to the same habit. Read the cancellation and renewal terms before adding a card, and set a calendar reminder before any annual renewal.
Which Should You Choose, Instantly Or Smartlead?
Choose Instantly if one in-house team wants outreach, lead data and AI reply drafting from a single vendor, and choose Smartlead if you run outreach for clients who need their own branded login. If the sequence must include LinkedIn steps, neither fits natively, and QuickMail, Woodpecker or Reply.io is the better shortlist.
Pick by situation
| Situation | Pick |
|---|---|
| In-house SDR team, one vendor for data and CRM | Instantly |
| Agency with branded client reporting | Smartlead |
| Branching follow-ups by reply intent | Smartlead |
| AI drafts replies, a person approves | Instantly |
| LinkedIn or calls in the same sequence | QuickMail, Woodpecker or Reply.io |
Judgement: If two of the situations above apply and they point to different tools, let the client-access need win for an agency and the data need win for an in-house team. Those are the costs hardest to work around later.
Instantly And Smartlead Alternatives Worth Considering
QuickMail, Woodpecker and Reply.io are the alternatives to weigh when a team needs LinkedIn steps inside the same sequence, which none of Instantly's Outbound plans or Smartlead offer natively.
All three are cold email platforms, so they compare directly with the head-to-head pair. For the wider field, our ranking of the best cold email platforms compares more tools on the same criteria.
QuickMail
QuickMail is cold email and LinkedIn outreach software with automated follow-ups and deliverability tools built in.
Mailboxes and warmup: QuickMail plans list unlimited email senders, with the AutoWarmer and MailFlow included on every plan.
Sending limits: QuickMail states smart inbox rotation, spreading sends across connected mailboxes.
Reply handling: Replies from email and LinkedIn arrive in a single inbox, with native two-way HubSpot and Pipedrive integrations.
Deliverability testing: QuickMail states blacklist and deliverability monitoring alongside warmup.
Multichannel: Sequences can include LinkedIn connection messages, InMail and voice messages.
Agency and client access: Workspaces are a plan limit. The Agency plan includes two, and extra workspaces cost more. Zapier is on every plan, and webhooks come with Agency.
Cost drivers: The plans are shown below, with the workspace count as the main thing that grows the bill for an agency.
QuickMail pricing
| Plan | Price | Billing | Notes |
|---|---|---|---|
| Starter Plan | $49 | per month | |
| Growth Plan | $99 | per month | |
| Agency Plan | $299 | per month |
Limitation: Judgement. Because workspaces are a plan limit, an agency with a long client list will feel QuickMail's cost rise faster than an in-house team will.
Best fit: Judgement. Growth teams that want email and LinkedIn in one sequence and one inbox, without the operator-heavy setup of Smartlead.
Woodpecker
Woodpecker is an outbound prospecting platform that combines cold email campaigns and LinkedIn outreach with lead finding, verification and warmup.
Mailboxes and warmup: Email accounts are unlimited. Four warm-ups are included, and extra warm-ups are an add-on per account.
Campaign logic: Woodpecker states condition-based campaigns, so a prospect's path changes with what they do.
Sending limits: Adaptive Sending is built to keep each mailbox from exceeding its limits, with inbox rotation across accounts.
Reply handling: Replies go to a centralised inbox.
Deliverability testing: A Deliverability Monitor predicts sending issues before they hit a campaign.
Multichannel: LinkedIn steps (invites, profile visits, DMs and InMails) run inside email campaigns.
Agency and client access: The Agency Panel and White Label are add-ons billed per active client.
Cost drivers: Woodpecker prices by contacted prospects, in blocks of 100. Exceeding the limit stops new prospects being emailed. LinkedIn is an add-on per connected account, and integrations (webhooks, MCP and CLI access) are a separate add-on. Unlimited email verification is included.
Woodpecker pricing
| Plan | Price | Billing | Notes |
|---|---|---|---|
| New Domains (add-on) | $1 | per month, billed annually | |
| Email addresses, Maildoso, Mailforge, Infraforge or Azure (add-on) | $4 | per month | |
| Additional warm-ups (add-on) | $5 | per month | |
| White Label (add-on) | $5 | per month | |
| Email addresses, Google or Microsoft (add-on) | $6 | per month | |
| Azure domain hosting (add-on) | $20 | per month | |
| Integrations, API, webhooks, MCP, CLI (add-on) | $20 | per month | |
| Active clients, Agency panel (add-on) | $27 | per month | |
| LinkedIn connected accounts (add-on) | $29 | per month | |
| Contacted prospects 500 (base plan, monthly) | $35 | per month | per contact |
| Dedicated servers, Infraforge (add-on) | $59 | per month | |
| Outbound workshops, 4 sessions of 2 hours (add-on) | $2,000 | one-time |
Limitation: Capterra reviewers of Woodpecker repeatedly cite price for very small teams and deliverability or warm-up weakness as cons, while praising its ease of use and support.
Best fit: Judgement. Agencies and sales teams that want condition-based email and LinkedIn in one campaign, and prefer paying by prospects contacted over paying by emails sent.
Reply.io
Reply.io is a multichannel sales outreach platform with cold email sequences, LinkedIn, calls and an AI SDR agent.
Mailboxes and warmup: The Multichannel plan lists a mailbox cap per user, while the Email Volume plan lists unlimited mailboxes under a Fair Usage Policy.
Campaign logic: One sequence can combine email, LinkedIn, WhatsApp and calls.
Reply handling: A unified inbox collects email, text and social replies. Jason, the AI SDR, finds leads, personalises outreach and follows up.
Multichannel: Email, LinkedIn, WhatsApp and calls sit in the same sequence.
Agency and client access: Agencies get client workspaces with role-based access.
Cost drivers: Plans are priced per user per month, and email volume is sized by active contacts (unique contacts sent a first-step email in a month). Add-ons are sold per account, with LinkedIn Automation and Calls & SMS Automation each billed monthly for every connected account.
Reply.io pricing
| Plan | Price | Billing | Notes |
|---|---|---|---|
| Reply Unlimited | $166 | per month |
Reply.io Sales Outreach pricing
| Plan | Price | Billing | Notes |
|---|---|---|---|
| Multichannel | $89 | per month, billed annually | per user |
| Email Volume | $159 | per month, billed annually |
Reply.io AI SDR pricing
| Plan | Price | Billing | Notes |
|---|---|---|---|
| AI SDR (Jason) | $500 | per month |
Reply.io Agencies pricing
| Plan | Price | Billing | Notes |
|---|---|---|---|
| Agency Core | $210 | per month | |
| Agency AI SDR | $500 | per month |
Limitation: Per-account add-ons stack. A team running LinkedIn and calls from several accounts pays each add-on for each account, on top of per-user plans.
Best fit: Judgement. Sales teams that want every channel, including WhatsApp and calls, in one sequence and are willing to pay per user and per account for it.
How To Switch Between Instantly And Smartlead
Switching between Instantly and Smartlead is mostly a data move, because both connect unlimited mailboxes, so the steps that protect results are carrying the unsubscribe list across first and keeping each mailbox's warmup running.
The matching task is moving one live campaign from one tool to the other without double sends or lost opt-outs.
- Pause the old campaign before importing anything, so no lead gets the same step twice
- Export leads and the unsubscribe list, and import the suppression list first
- Honour every opt-out within 10 business days, including ones received mid-move
- Reconnect each mailbox in the new tool and keep warmup running
- Confirm SPF, DKIM and DMARC still pass for every sending domain
- Rebuild reply labels in Unibox or sub-sequences in Smartlead
- Restart at about 30 campaign emails per mailbox per day, then watch replies
Moving to Smartlead means rebuilding follow-up logic as sub-sequences triggered by reply type, link clicks or lead tags. Moving to Instantly means recreating any custom AI labels, which need Hypergrowth or Light Speed, and sizing campaigns by mailbox count.
Judgement: Run the old and new tools side by side for one billing cycle at most. Two tools sending to one list is the fastest way to double-send a prospect.
Cold Email Rules That Apply Whichever Tool You Pick
The FTC states that CAN-SPAM makes no exception for business-to-business email, so a cold campaign sent from Instantly or Smartlead still needs a working opt-out honoured within 10 business days and a valid postal address.
The same FTC guide sets penalties of up to $53,088 for each email that breaks the law. It also says a business cannot contract away its responsibility to a vendor, so the sender stays liable even when Instantly or Smartlead does the sending. These rules sit under every channel in sales and outbound work, and email is where they bite hardest.
The mailbox providers add their own rules on top:
- Gmail: Senders of about 5,000 or more messages a day to Gmail accounts must use SPF, DKIM and DMARC, keep the spam rate below 0.3% and support one-click unsubscribe, in effect from February 2024.
- Outlook: Domains sending more than 5,000 emails a day must pass SPF and DKIM and publish DMARC, or face rejection with error 550 5.7.515, from May 5, 2025.
For the wider view of how outreach fits the rest of the pipeline, see our coverage of sales and outbound.

Instantly Vs Smartlead FAQ
Does Smartlead have LinkedIn automation?
Smartlead does not offer native LinkedIn steps, so teams that want LinkedIn and email in one sequence add a third-party tool or pick a multichannel platform such as Woodpecker or Reply.io. Smartlead's own extra channel is calling through SmartDialer, which places calls rather than LinkedIn touches.
Can Instantly and Smartlead connect unlimited inboxes?
Yes. Instantly's Outbound plans let a team connect and warm up unlimited email accounts, and every Smartlead plan includes unlimited email accounts. The limits sit elsewhere. Instantly caps uploaded contacts and monthly emails, and recommends about 30 campaign emails per mailbox per day, while Smartlead meters lead credits and email credits.
Does Instantly include a lead database?
Not in the Outbound plan. Instantly sells its SuperSearch lead database and Website Visitors through a separate Data Credits subscription, so a team that wants prospect data from Instantly pays for Outbound and Data Credits side by side. Smartlead also sells SmartProspect verified emails as a separate allowance.
Do I still need a separate deliverability tool?
Often not for placement testing, because both vendors sell it as an add-on. Instantly's Inbox Placement covers Gmail and Microsoft with blacklist monitoring, and Smartlead sells SmartDelivery in tiers. A separate tool earns its cost when you run several sending platforms or want placement data that does not come from your sending vendor.
